RENTAL POLICY

 Accessible Vehicle Rental Policies 
Wheelchair In Motion serves several communities across Ontario, Canada. Our Head Office is located in Selkirk, Ontario. The following are policies that we have regarding accessible vehicle rental customers. 

Cancellation PolicyYou may cancel your reservation at any time. During our peak season*, reservations cancelled 7 calendar days or less prior to the first day of the reservation will be subject to a cancellation fee equal to our single day rental fee.  Reservations cancelled 48 hours or less prior to the first day of the reservation will be subject to a cancellation fee equal to 2 single day rental fees.During our off season**, you can cancel your reservation up to 24 hours prior to the first day of the reservation and there will be no charge.  Reservations cancelled with less than 24 hour notice will be subject to a cancellation fee equal to our single day rental fee. Cancellation fees will be charged against the valid credit card used to secure your reservation. *Peak season is May 1 to Oct 15, plus Dec 20 to Jan 2 and Good Friday to Easter Monday.**Off season is Oct 16 to April 30, excluding Dec 20 to Jan 2 and Good Friday to Easter Monday.  

Vehicle Delivery and Pick Up Wheelchair in Motion is pleased to offer this service of delivery and pick up of our vehicles. This service is designed to assist with the rental process. Currently, our delivery and pick up of our vehicles is limited to an area of several kilometres of our locations. This service is not available at all of our locations. Exceptions to the delivery and pick up areas are at the discretion of Wheelchair In Motion and their Agents. 

Rates and Price Quotations Rates and Prices vary greatly as in all businesses. Wheelchair In Motions’ rates and prices are verified at the time of the rental and the prices that are recorded on the documentation at the time of the rental are final regardless of verbal discussions. 

Grace Period Renters are allowed a One Hour Grace period, (60 minutes) from the agreed return time. If the rental exceeds the grace period, an hourly charge will be applied to the maximum of the daily rate.  

Rate DisagreementAny dispute in rates must be corrected at the time of delivery and/or pick up location. Online rates are subject to fluctuate based on the Holiday Schedule.

Vehicle Types Wheelchair In Motion will always endeavour to fulfill all customer requests for specific vehicle type or model, however due to the nature of vehicle rentals, Wheelchair In Motion reserves the right to change the vehicle type and/or class without warning or notification. These changes are at the discretion of the staff of Wheelchair In Motion and their Agents and are without compensation or adjustment. All efforts will be made to meet the requested vehicle type and model as requested. 

Deposits and Credit Card Use The renter listed on the Rental Agreement must have a valid major Credit Card. A minimum deposit is required at the time of the rental. Any exceptions to this policy are at the discretion of the staff of Wheelchair In Motion and/or its Agents. 

Proof of Insurance Wheelchair In Motion vehicles are fully covered with the mandatory auto insurance in Ontario. However, the renter is responsible for any physical damage caused to the vehicle during their rental period. This responsibility can be transferred in most cases, to an existing Auto Policy or a valid Visa, MasterCard or American Express Credit Card that offers rental insurance coverage. When a personal Insurance Policy is used to cover the rental vehicle, proof of a valid policy is required. In some cases for credit card policies, proof may be required. Most major Credit Card policies are well known and proof of coverage will not be required when using this policy as coverage. 

Drivers’ Licence, Additional Drivers and Driver’s Age All drivers must have a valid drivers licence at the time of the rental and be valid through out the term of the rental. Licences’ must be presented at the time of the rental. Driver (s) must have a valid “G” Class licence, if it is an Ontario licence, or an equivalent class for non-Ontario licences. Additional Drivers may be charged an additional fee. The minimum driver (s) age is 25 years.

Kilometre Allowance A kilometre allowance is 200 kilometres per day, 1400 per week and a maximum of 4500 kilometres per month. Additional charge for kilometres over the allowance is 15 cents per kilometre. A maximum of 4500 kilometres is allowed for a 30 day rental. Vehicles are not permitted to be removed from the province rented in without authorization by Wheelchair In Motion staff or their Agents. Some rental specials may have different kilometre allowance. Please confirm the details at booking. 

Airport Rental Policy Wheelchair In Motion’s rental policy at the airports is as follows. The customer will be greeted at the arrivals area by a Wheelchair In Motion employee. At this time the customer will be escorted to the rental vehicle and an orientation of the safety devices and the vehicle will be performed. The necessary paper work will be completed and a return drop location and time will be confirmed.Upon returning the vehicle, a representative from Wheelchair In Motion will meet the customer at the curb side of the departure level. A wait fee may be applied for extremely delayed flights and for missed flights.Please call 1-888-776-1102 toll free. 

Fuel Fuel consumption during the rental is the responsibility of the renter. Most vehicles are delivered full of fuel and the renter is responsible for returning the vehicle full of fuel. Vehicles returned without the required fuel level will be charged a refuelling fee. 

Alcohol and Drug Use While Driving It is an offence to operate a motor vehicle while under the influence of alcohol or any drug (s) that impairs judgement (prescription or otherwise), doing so will void any coverage’s that are applicable for the entire rental. This includes insurance policy, Gold Card coverage or all coverage’s covered by Wheelchair In Motion. 

One Way Rentals In some cases, One Way Rentals may be available from Wheelchair In Motion. A minimum drop off fee of $100.00 will apply. Some areas may incur a greater fee. Please confirm with Wheelchair In Motion or their Agents’, if this service is available at the time of booking. All laws applicable to drivers and safe use of the motor vehicle must be adhered to at all times. 

Accessible Parking Permits Wheelchair In Motions’ vehicles are equipped with an Accessible Parking Permit allowing the operator of the vehicle to park in designated Accessible parking areas. This permit is only valid when a passenger using a mobility device is present. Loss of these permits may incur a replacement fee of $300.00 

Excessive Dirty Vehicles Vehicles that are returned excessively dirty inside may be charged an additional fee for cleaning.

Smoking Just as renters are assessed a fee for cleaning the car’s interior for excessive stains, dirt or soiling attributable to the renter’s use, customers will be assessed an additional charge if the car smells of smoke when it is returned.
